Limits, privacy and reliability
- At the limit: Links or buttons stop working when you go over the limit. When an event reaches its add-to-calendar limit, "new visitors no longer see the add-to-calendar button for that event". Calendar entries already added stay. The RSVP limit caps registrations per event. A subscriber stops counting after 7 days without a sync. Dashboard banner and email on reaching a limit. source

What it is
CalendarLink is a hosted add-to-calendar service. Each event gets an event page, plus buttons and widgets for websites, snippets for email tools, direct Google/Outlook links, .ics files, QR codes and an image card. It also offers RSVP forms, subscription calendars (“collections”), Zapier, Make and n8n on every plan, and an API with an MCP server for AI assistants.
Pricing in plain words
There are three plans. Free costs $0, Startup costs $23 a month ($19 a month billed yearly) and Business costs $47 a month ($39 a month billed yearly). A single-event licence costs $99 once and gives Business features for one event. Enterprise starts “from 199 / month” through sales.
All limits are per event or per collection, not per month. Free allows 50 adds per event, Startup 1,000 and Business unlimited. Subscribers per collection are 10, 100 and 10,000. Events and team members are unlimited on every plan. The RSVP numbers (10, 100 and 10,000 per event) cap how many registrations you can view and download, not how many people can register.
Things to watch
- The cap is hard. When an event reaches its add limit, new visitors no longer see the add-to-calendar button for that event. 50 adds per event on Free fills up quickly for a newsletter send.
- API plan is unclear. The pricing page lists “API + MCP” on Startup, but the help center lists the API under Business.
- Trial length conflicts. The plan cards say 7 days and the FAQ says 14 days. The help center says a trial needs a credit card.
- Single-event licence terms conflict. It runs “2 weeks after event” on the card and “30 days post-event” in the footer. It is non-refundable.
- Privacy policy is thin. It names no company or address, does not mention GDPR, and still contains unfilled placeholders such as “[timeframe]”. The GDPR claim appears only in the pricing page footer.
- A custom calendar URL is “coming soon”, and no webhooks are documented.
